StoopOS runs community apps for homeowner associations and amenity clubs. This page explains what we collect, why, who we share it with, and the choices you have. We don’t sell your information and we don’t show ads.
What we collect
- Account: your name, email address and, if you add it, a mobile number.
- Your community: the home you belong to and your role (owner, tenant, household member, board), added by you or your community.
- What you do in the app: bookings, passes, guest passes, check-ins at amenities, event RSVPs, poll votes, service requests (including photos you choose to add and an optional map pin you drop or set with “Use my location”), messages and notes you write, and directory or neighbor-service listings you choose to publish.
- Your device: a push-notification token and an install ID so notifications reach the right phone, and basic technical logs (IP address, browser) kept for security.
Location: the app reads your phone’s location only when you tap “Use my location” while reporting an issue, and only after you allow it. It drops the pin where you are; that pin is saved with your request so the board knows where the problem is. We never track your location in the background. The camera is used only when you scan a pass or take a photo for a request. Payments recorded by your community’s office are stored as amounts and status, never card numbers.
How we use it
To run your community’s features: bookings and passes, check-in at the gate, notifications and emails you’ve chosen, board tools, and reports for your board (counts only, no names). To keep accounts secure and to support you when you ask for help.
Who sees it
- Your community’s board and managers see what they need to run the community (who lives where, bookings, requests). Neighbors see only what you choose to publish (for example, a directory listing).
- Companies working for your community (a management or pool company) see only what their role needs; a pool company’s staff see check-in information at the gate, not resident details.
- Our service providers, who process data for us under contract: Supabase (database and hosting), Vercel (website hosting), Resend (email), Google Firebase Cloud Messaging (push notifications), Twilio (emergency texts, if your community turns them on), Apple and Google Wallet (if you add a pass), and OpenStreetMap (map tiles and address search).
- We may disclose information if the law requires it.
Your choices
- Choose which notifications, emails and texts you get under Notifications & account, and whether you receive official notices electronically.
- The neighbor directory is off unless you turn it on, and you choose each detail it shows.
- Delete your account any time in the app (You → Delete my account, or on the web under Notifications & account). Your community keeps its own records (for example meeting minutes or a request you reported) without your name.
- Ask us for a copy of your information or a correction at privacy@stoopos.com.
Text messages
If your community turns on emergency texts, you can choose to receive them by adding your mobile number and ticking “Text me emergency alerts” under Notifications & account. We text only alerts your board marks urgent, such as a water main break or lightning at the pool, so how often depends on your community; usually a few a year. Message and data rates may apply. Reply STOP to stop, or HELP for help, or untick the box. We don’t share or sell your mobile number or text opt-in with anyone for marketing; Twilio sends the texts for us and uses your number only to deliver them.
Children
StoopOS isn’t meant for children under 13, and we don’t knowingly collect their information. The directory and neighbor services don’t ask for children’s names or ages.
Keeping it safe
Data is encrypted in transit, each community’s data is kept separate, board accounts use two-step sign-in, and files open through short-lived links. We keep information while your account and community are active and delete it after you delete your account or your community leaves StoopOS, except where we must keep it longer by law.
Changes and contact
We’ll post changes here and tell you in the app if they’re significant. Questions: privacy@stoopos.com.
